Grievance & Whistleblower Policy

1. Purpose and Scope

ViCOLLECTIVE AG is committed to the highest standards of integrity, transparency, and social responsibility. This policy provides a secure, anonymous mechanism for employees, suppliers, and external stakeholders to report concerns regarding injustice, fraud, human rights violations, or environmental harms linked to our operations or supply chain.


2. Who Can Report?

This system is open to all internal and external parties, including:

  • Full-time, part-time, and seasonal employees.
  • Suppliers, contractors, and their workers.
  • Local community members and groups affected by our operations.



3. Reporting Channels

To ensure accessibility, we support both written and verbal complaints:

  • Languages: The reporting portal is available in English, French, German & Spanish. 



4. Anonymity and Protection from Retaliation

  • Anonymity: Complainants may choose to remain anonymous. Our digital system is configured to hide IP addresses and identity unless voluntarily disclosed.
  • Non-Retaliation: ViCOLLECTIVE AG strictly prohibits any form of retaliation, threats, or harm against any individual who raises a good-faith concern. Any employee found retaliating will face immediate disciplinary action.



5. Handling of Sensitive Grievances

Grievances involving sexual harassment, gender-based violence, or serious human rights abuses will be handled with the utmost confidentiality. These cases are escalated immediately to Lina Berlinger, ViCOLLECTIVE HR Manager, who is trained in survivor-centric approaches.


6. The Investigation Process & Timeline

  1. Acknowledgment: Receipt of the complaint will be acknowledged within 48 hours.
  2. Investigation: A trained staff member or appointed expert will investigate the claim. All parties will be kept informed of the progress every [e.g., 10 days].
  3. Resolution: We aim to reach a resolution and implement remediation within 30 days of the initial report.
  4. Remediation: If harm is identified, ViCOLLECTIVE commits to remediation. If we cannot remediate the harm in full independently, we will engage with relevant civil society actors or national agencies.


7. Appeals Process

If the complainant is not satisfied with the resolution, they have the right to an Appeal. Appeals will be reviewed by Silvio Matanza, who was not involved in the original investigation.

8. Legal Alignment

This policy is designed to align with national labor laws and internationally recognized human rights standards (UN Guiding Principles on Business and Human Rights).
